If you have a question, please search below to see if we already have the answer posted for you. Q: What’s happening with R2R USA? Will we still have the event?
A: Yes, the show will go on!
We are in full planning mode for R2R USA to take place in-person on October 18-21 in Orlando, FL. Our team is working closely with the hotel staff and advisers to prepare for a safe event. We are busy recruiting speakers to build the agenda. We are working with sponsors and exhibitors to celebrate our 50th Anniversary reception. We are taking registrations and looking forward to hosting you!
Q: What safety measures are being put in place?
Our team is working closely with the host property, The DoubleTree at Entrance to Universal Studios, to make sure all new safety measures are in place and in compliance with government regulations. Your safety is a top priority while participating at the conference.
The team is considering several modifications to sanitation procedures, room layout, exhibitor areas and more to keep safety top of mind. The pandemic has changed the way we are doing business today, and we will have new safeguards in place at R2R USA. One thing will not change – AIMCAL’s R2R will continue to be the industry-leading event for technical education and networking.
Q: I want to present a paper, but I'm not sure my company will allow me to travel in October. What should I do?
A: You’re not alone. We understand you may have questions or unique circumstances. AIMCAL recommends submitting your paper using the link below. Please include a note in the Questions/Concerns comment box so we’re aware of your situation. The information you share will help us work with you as we build the agenda. Additionally, the submission deadline was extended to June 3rd to help accommodate new work conditions.
We recognize that a lot can change between now and October. If you are still not able to travel, we can work with you individually and help coordinate with one of your co-workers or a colleague in the industry to present on your behalf. [True story. This has happened before, so we’ll find ways to adapt]. You have important content, and we want to help share it with the industry.
Q: Will I be able to present, or attend, virtually?
A: We are unable to clearly answer this question today. Our primary goal is a safe and enjoyable event. Educating and connecting people across the industry is core to who we are and what we do. We feel the best way to accomplish our mission is through in-person networking. Our current focus is preparing for a traditional, in-person conference.
Information from hotel staff and local officials are pointing toward relatively favorable conditions for our Fall event. We will continue to monitor business indicators along with local and international government information to make decisions on live/virtual attendance closer to the event date. Our event planners and AV teams are monitoring new technical capabilities to prepare for different scenarios should the conditions evolve. Please continue to check this page for updates.
Q: My participation could be impacted by budget constraints. Are there options for me?
A: Yes, early-bird registration discounts are available now. We are extending these discounts to September 4th. This is the latest date possible before AIMCAL must finalize commitments with the hotel. Speakers receive free registration for the day of their presentation. Speakers choosing to attend the full event receive a special, discounted rate for the remainder of the conference.
Q: Does a Table Top Exhibit include one or two registrations in the cost?
A: The Table Top Sponsor Package includes one conference registration. This package also includes a 6-foot table to display products and literature. Pro-tip: The Table Top Package for Speakers is a great value to maximize exposure.
Q: How do I sign up for the AIMMy presentations on the opening night? I always like these fun presentations and I want to present one for my company.
A: AIMMy presentation slots are open to ANYONE. Email Tracey Messina to get your name on the list for presentations on Sunday night (firstname.lastname@example.org).
If you’re new to R2R and the AIMMy’s, presenters have 3-minutes to introduce their company and products. Some presenters wear costumes and create fun videos showing their products or services. It’s unique to AIMCAL and a great way to promote your company with the attention of ALL attendees. There is no cost to participate. Only rule…all presentations must be 3-minutes or less. If you go over this time, you will be booed off the stage (in a fun, but effective, way!).
